Feng 3.1 improvements for Professional & Enterprise Editions only!

In our previous article we mentioned that we would cover the new features that have been exclusively added for the Professional & Enterprise Edition, so here we are!
 

Pushing tasks forward?

Ideally speaking one would not have to reallocate resources, set new deadlines and move around all of the carefully planned tasks. However, this usually is not the scenario that most Managers experience, and tasks inevitably have to be moved forward from time to time!
 
If you are familiar with this situation, we have great news! There is a new helpful feature we have built that will save you lots of time whenever this happens as you would simply need to input how many days and/or hours you would like to push your tasks forward.. and voila!

Do notice this doesn’t automatically push forward subtasks and dependencies as many could find this confusing, but you can select as many tasks and subtasks as you want and “mass push” them in one go.
 

Are you one of those wishing for more flexibility in the Status formulas?

Feng Office lets you manage Projects’, Clients’ and Prospects’ statuses. One can do so manually or through automatic formulas to make things easier and faster.
 
What has been improved here is the possibility to:
1- Select multiple conditions to configure the status such as here:

2- For each new Project, Client or Prospect, you can now decide whether you want to manage them manually or automatically (in the past it was one way or the other for everything)

Would it not be faster to have contacts created whenever you add a new Client or Prospect into the system?

Most definitely! That is why from now on, you can choose whether you want to create a new contact – be it a person or an organization – with the information you are already inputting so that you do not have to do it twice.

Do you ever wonder whether documents could be shown differently?

Until now when listing documents in Feng Office, one would have to get used to our way of showing information. What we mean is that if you have a folder “A” with subfolders, whenever you stand on “A”, you would then not only see documents that belong there, but also documents that belong to its subfolders, unlike the traditional view in Operating Systems.
 
We believe our way is usually more helpful, but sometimes it isn’t. Therefore we worked on a new configuration option which lets you choose whether you have one view or the other!!

Do you have colleagues who should have the permission to add new Projects but who should not be allowed to edit existing ones?

Depending on how you run your business or organization, sometimes you want your colleagues to access some clients, projects or other users, but not have the ability to edit them. At the same time, you may also wish for there to be a special permission that allows your team members to edit some of them, but not all, and also to add child nodes (be it a folder, client, project, etc.).
Well, we took these situations into consideration and from now on there is a whole new level of permissions, making the system even more flexible than before!!

Would it not be great to know if my emails are being opened?

Yes!? We would love that too! That way one can know whether emails are being caught up in our recipients’ spam folders and not opened, or when working on a customer acquisition campaign you would want to analyze which subjects worked out and which ones did not.
 
Good news is that we have already released a prototype of this feature showing how many times the email has been opened, the IP address of the person who opened the email and when they did so! However, please bear in mind it is not yet fully compatible with all of the email servers out there.

Feng Office 3.1 version!

We have been working very hard on a new version of the system we all love =)
 
To start with, thank you all who have contributed with feedback about the new 3.0 design and usability. Fortunately it has been very well accepted as it was found more appealing and it made the system much easier to use for newcomers.
 

What surprises does it have??

Quite a lot to be honest, so we will break this article in two. Here are the main headlines:
 

  • Pushing tasks forward *
  • More flexibility in the Status formulas *
  • Automatic contact creation when you add a new Client or Prospect *
  • Choose whether to show all documents in sub-folders or just in the selected one *
  • Users can now be allowed to add Clients, Projects, Prospects or Workspaces, while not being able to edit existing ones *
  • Improved response time in Tasks Module
  • Enhancements to E-Mail Module
  • Know if your e-mails have been opened *
  • Include custom property information when importing contacts
  • Update event attendance independently of getting a confirmation reply

    FENG 3.1 IMPROVEMENTS FOR ALL EDITIONS:

     

    You do care about speed when loading tasks, right?

    Tasks (aka activities) are crucial for business and organizations. Not having them available quickly makes things slower, so we decided to improve the response speed of our Tasks Module even further! How have we done it? By redeveloping pretty much the whole task-listing behaviour with state of the art changes!
     

    What about emails?

    Many people using Feng Office, rely on our system to manage their emails. To be speedy when replying emails is of utmost importance too, but in order to reply to an email, you must first be able to receive as quickly and efficiently as possible. Therefore, we have enhanced how the platform checks emails that use IMAP protocols with the sole purpose of saving even more of your precious time.
     
    Moreover, when one manages multiple email accounts, it can become a bit hectic and sometimes people find themselves sending an email with the wrong account. In order to prevent this from happening again, we added a new validation method before the email gets sent so that you feel more secure when doing so.
     

    Do you import contacts into the system? If so, would not you wish to import their custom properties too?

    One looks for flexibility everywhere. Usually when managing contacts we may well need additional fields that the system does not have, no matter which system we are using, so, if possible, we create them.
     
    Until now, importing contacts into Feng Office would not load up the contacts’ custom fields along with them, but… worry no more! You can now import this information too, provided that you created a custom property for these fields.
     

    Do you manage many events?

    If you do, you are going to love the new feature we worked on to manage the invitiation list, when an invitee is too busy to confirm whether he or she can show up. This allows you to both track responses from invitees, but also ensure you have the right record of attendance for future reference.

    That said, we have finished polishing off the 3.X series of the system and added the final changes and minor features that we were missing from the 2.X series. This means that those cautiously waiting for 3.X to be more stable and with the features they like, can already proceed to doing so! As usual, we will start rolling it out gradually for Feng Sky accounts on a first comes first serves basis.

    The entire Feng Office Team has been working very hard, day after day, improving the system and making enhancements until the last minute so that this version would be the best Feng Office ever released.

    What does “ready” mean?

    That Feng Office 3.0 is ready means that we have been using the pre-beta, beta, RC, and RC2 versions internally for over 2 months now, that over 1.000 beta testers have been testing it for the past two weeks, and that all known major and critical bugs have been fixed.

     

    It also means that it is – in the opinion of most of the beta testers – a significant improvement over versions 1.X and 2.X.
     
    Most importantly, it means that it will be much easier for new users, Administrators and end-users, to get started and quickly familiarize with Feng Office.
     
    And also of great importance, it means that we have achieved the ultimate level of foundation that will allow the Development Team to build upon without having to worry about framework impact. All the pieces of the platform are now in place.
     

    New and improved

    Having gone through several studies with new Feng Office users, we identified many elements of the initial approach for new and unfamiliar Feng Office users that could be significantly improved. With this data and a lot of design and tests, we implemented a brand new Getting started Wizard.
     
    The goal was to make the initial experience with Feng Office a much more intuitive one.
     
    The new wizard guides the users through the initial configuration and first data input, making them feel comfortable at every step and realize the time-saving benefits from the very beginning.

    Implementing Feng Office for the first time in your project teams, or adding a new user to your existing Feng Office system, will yield a much faster learning curve for your users.

    The new design, usability enhancements, and new features make your working day easier and faster, as they allow you to control all of your project’s tasks (or even all your projects) with powerful dashboards and reports, knowing at all times the status, what needs to get done, by whom, and when.

    All of the improvements in Feng Office 3.0, and the upcoming versions, aim for the user to feel more comfortable, guided, and familiar with the system, so that everyone knows they can rely on it to benefit and help their own, their managers, and their team’s day-to-day work.

    Does this mean Feng Office has achieved all its goals?

    Far from it!! Feng Office has a lot of improvements on its Road Map. Too many – in fact – it would be ridiculous to comment here on even a fraction of what we have planned, but, for the curious ones, a few of them have been commented on here.
     
    Some of you will notice that some of the forms have been changed to be modal forms. Since it would have delayed the release of 3.0 considerably, we decided to postpone the change of all the system forms to the new format until a bit later in the future.
     
    New button styles. Changes in text alignment and sizes. New input boxes. These are but a few examples of little improvements that will be coming in the near future.
     
    Other (bigger) improvements, like new features and even new modules, will also be making their way in the upcoming weeks and months.
     
    And now that we have the ultimate platform for the upcoming improvements, you will see them coming at a much faster pace!
     

    When can I upgrade my installation?

    Technically speaking, everyone could upgrade their installation right now.
     
    For Feng Sky accounts, we will gradually start rolling it out. We will begin with the clients that first request the upgrade and that are comfortable with being some of the first to try it in actual production environment.
     
    @Old timers, we know upgrading to Feng Office 2.0 was a complex matter for large installations, but there are no major challenges involved in this upgrade. That said, system administrators should ALWAYS backup EVERYTHING before doing any upgrade.
