Working with Tags

Tagging allows you to organize your information quickly. By adding tags to objects you can classify and group them. Tags are taken from a flat list an can be added at any time, so you don't have to spend much time on building a complicated classification system in advance.

Adding and Removing Tags

Tags can be attached to basically any object in Feng Office. And you can add not only one, but as many tags as you like to a single object.

To add a tag, simply type it in the corresponding field. To add more than one tag, use commas to separate them. While typing you will notice a so called suggest dropdown offering you existing tags; you can click on them to add tags more quickly.

To remove a certain tag, simply delete it as you would delete any text.

Sorting Tags

You may sort the Tag's view “Alphabetically” or “By count” if you wish to do so. In case you sort it “By count”, the tags which have more objects assigned, will be on top of the list, while the tags with less objects assinged will be at the bottom.

Deleting Tags

You may completely delete tags with the shortcut placed at the Tag's view by selecting one tag, and then clicking at the shorcut and confirming that you are sure you want to delete the selected tag. Only administrators are allowed to delete tags.

Filtering Content Object Using Tags

To filter information according to the assigned tags, simply click on a tag in the lower left corner of the screen. Filtering will take place immediately. Tags are not listed in alphabetical order but according to the number of objects they are assigned to (most used tag on top).1) Please note that you can select only one tag at a time.

To reset the tag filter simply click on All on top.

Please note that a tag will appear in this list as soon as it's assigned to at least one object. Consequently a tag will disappear from the list as soon it's not used any longer by at least one object.

If you have a lot of tags and can't find a specific tag, you can search for it by using the Filter tags… field . As soon as you start typing, the tag list will show only matching tags:

To remove a tag from an e-mail you have to click on the classify button (folder with an arrow). This takes you to the e-mail edit view where you can change workspaces and tags for a single e-mail.

Hi, how do I view tags related to a specific workspace only?

And is there a way to create tags without having to enter the text via the new note, document, task, etc?

What do you exactly mean by viewing tags related to a specific workspace? Tags may be used in all workspaces, but if you want to filter objects (notes, emails, events, etc.) from certain workspace through a tag, you would just need to type the tag name in the bottom left corner, and then only objects with that tag would be shown.

For instance, i have a workspace for marketing and website. When I'm in the workspace for marketing and want to tag a note, I don't want to see the tags I created for website but only view tags I created for marketing. This is what I meant by viewing tags related to a specific workspace only.

I see. Currently tags may be used in all your workspaces and you cannot that. However, if you find this feature you mention useful and necessary, feel free to contact sales@fengoffice.com and explain your situation if you feel like sponsoring it

Is it possible to show task, that doesn't have specyfic tag?

eg. Task1 [a] Task2 [a, b] Task3 [b] Task4 [c]

And I want to see all elemement without tag “a”, that means: Task3, Task4.

when typing a so called suggest dropdown offering existing tags can't popup in mysite, and I have try the online demo, it can't work too. I try to use the newest firefox, IE8 etc. Could you help me?

You have to type in the letters/words you would like to filter as tag name, and then press Enter

Other than going into the sql database, is their any other way to edit tags once they are created? Say change the spelling, or add a meta tag to a tag so the tags can be grouped?

The third button in the tag panel is for tag renaming.

Like Teresa, I would love to have a way to reduce the number of tags shown to most users by default.

This could be as simple as a button in the 'tags' area that causes the tags window to only show those tags already active in the current workspace, or previously used in objects linked to the current user.

In my case, I want most users to start with a small list of authorized tags, but I still want everyone to be able to easily view a full list of tags, or add extra tags.

(Yes, I know - send an email to sales@fengoffice.com. Sadly, I have no money for this - I just wanted to pass along an idea…)
